The problem

The client's team was drowning in email. Every project had its own threads, and requests, deadlines and questions were buried in a shared inbox with 140+ unread messages. Things got missed, and people spent their mornings searching instead of working.

What we built

  • Connections to Gmail, Outlook and any IMAP account that leave the inbox as it is
  • An AI pipeline that reads each new email, matches it to a project, and pulls out tasks, deadlines and questions that need an answer
  • A kanban board and calendar sorted by project and due date
  • Reply drafting: type a few words and get a full reply in your usual tone, sent only after you approve it
  • Delegation with reminders and follow-ups when a reply hasn't come back
  • Real-time chat for each project, so the conversation stays next to the work
  • Company accounts with roles, invites, Stripe plans and an admin panel
  • Data encrypted in transit and at rest, hosted in the EU, never used to train public AI models

The user writes a short note, Taskfold drafts the full reply from the thread, and nothing goes out until it is approved.

The result

The client launched Taskfold as a working B2B SaaS, not a prototype. Reply drafting turned out to be the feature users liked most.
